Choco4peace Executive AssistantBuilding Lives with Dignity Terms of Reference Choco4Peace is a multi-institutional movement that builds peace in Colombia using chocolate, investments, and blockchain. We work with ex-cocaine producers and war victims who have made the transition to growing cacao, and support them with access to international markets and fair prices, finance, technology, capacity building, and good governance and policy frameworks. We are looking for an Executive Assistant with organizational skills and commitment to support and resolve diverse types of documents, schedule meetings, get involved with projects as they move forward. The Executive Assistant must demonstrate a strong sense of organization, responsibility, discretion, professionalism and judgment. The candidate will need to have a positive attitude, sense of urgency, resourcefulness, organized, proactive and able to recognize problem situations before they occur. The candidate will provide full administrative support in the following areas: Prepare and edit correspondence, documents, agendas, minutes and distribute information across the staff. Email management, including sending the invitation, reminder, and follow-up emails. Design and maintain databases. File and retrieve documents and reference materials. Conduct research, collect and analyze data to prepare reports and documents (if necessary). Manage and maintain executives' schedules, appointments and travel arrangements. Arrange and coordinate meetings and events. Record, transcribe and distribute minutes of meetings. Answer and manage incoming calls. Receive and interact with incoming visitors. Liaise with internal staff at all levels. Interact with external clients. Qualifications Being an undergraduate student with a major in Social, International studies, Administration or equivalent. Willingness to learn and be taught. Proficient with Microsoft Office Suite software, Google Docs and very strong experience with Excel. Exceptional oral and written communication skills. French and/or Spanish an asset. Competencies and Skills A high degree of initiative and judgment when responding to queries from staff, clients, etc. Effective organizing skills. Demonstrated teamwork skills. Ability to handle information with tact, diplomacy and discretion. Thrives in fast-paced conditions and effectively prioritize multiple tasks. Meet regularly with the co-founders and conduct an audit of our existing sales, data analytics, and customer service processes and strategy. Propose/refine a set of structures and processes for sales, data analytics, and customer service. In the latter two cases, there is little formally in place so we need you to set the bar. Establish a work plan with a set of milestones and a timeline for their completion. Other duties as agreed.
